Preparing Your Office for AI: The BrokerBot Guidebook

Purpose

This guide empowers office leaders and staff to successfully integrate, manage, and champion the use of BrokerBot, your new AI Assistant. By following these strategies and role assignments, your team will maximize the value, compliance, and positive cultural impact of AI in your real estate operations.


1. Policies and Guidelines: Establish Clear AI Usage Policies

AI Policy

Draft a written AI policy outlining acceptable use, privacy standards, and compliance expectations for BrokerBot and any AI tools. Ensure all staff review and acknowledge this policy during onboarding.

Data Sharing Guidelines

Remind staff that queries and conversations with other AI platforms (including ChatGPT) may be used for training and could be accessible to platform providers. Instruct agents to avoid sharing sensitive client data, personal information, or confidential deal details.

Important: BrokerBot does not share your data.

Accuracy and Reliance

Reinforce that AI outputs are for guidance only and should not be treated as absolute fact. Always verify critical information, especially regarding contracts, legal advice, or compliance matters.

Compliance with Regulations

Warn agents that outbound AI-driven communication tools may not comply with the Telephone Consumer Protection Act (TCPA) or similar regulations. Prohibit the use of AI for mass texting/calling clients unless explicitly vetted for compliance.

Continuous Review

Set a schedule for regular policy reviews and updates as the technology, office practices, and regulatory landscape evolve.


2. Optimizing Adoption and Utility: Foster a Culture of AI Learning and Collaboration

AI Tips of the Week

Share a practical weekly BrokerBot tip or use case in your office newsletter, email, or Slack channel to keep the team engaged and learning.

Regular BrokerBot Classes

Host short, recurring training sessions or workshops. Include live demonstrations, Q&A, and invite agents to bring real-world scenarios for group problem-solving.

Celebrate Successes

Highlight "BrokerBot Wins" at office meetings. Recognize team members who saved time, solved a problem, or improved client service using AI.

Power Users = BrokerBot "Champions"

Identify and empower AI savvy agents or staff as "BrokerBot Champions." Encourage them to provide peer support, share best practices, and foster a collaborative AI learning environment.

Feedback Loop

Encourage open feedback on AI experiences, what worked, what didn't, and suggestions for improvement. Use this input to refine workflows and training. Remember, the BrokerBot Team always wants to hear your feedback as well.

3. Assigning Roles and Responsibilities: Give Each Role a Memorable Name

Tip: Use these fun or professional role titles in internal communications to create engagement and clarity around responsibilities.

The Wizard (Training Reviewer)

  • Reviews BrokerBot's daily training center and training moments

  • Identifies opportunities for refinement or additional training instructions to improve AI performance

The Guide (Onboarding Specialist)

  • Integrates BrokerBot onboarding into the office's new agent/staff orientation

  • Ensures every new hire receives a practical introduction and resource guide on BrokerBot usage

The Gatekeeper (Access Manager)

  • Manages user access—adding new users and promptly removing access for departing staff and agents

  • Coordinates BrokerBot permissions alongside other office systems (Slack, etc.)

The Librarian (Knowledge Center Steward)

  • Oversees the accuracy and currency of all documents in the Knowledge Center

  • Updates, archives, or removes outdated resources and ensures new versions are promptly uploaded

The Mastermind (Insights Trainer)

  • Leverages the "Chat with my Chats" feature at least once per week to spot trends or recurring agent questions

  • Creates custom training materials or tip sheets based on actual user inquiries, making agents more effective

The Champion (AI Power User/Peer Mentor)

  • Serves as an in-office AI enthusiast and peer mentor

  • Offers hands-on help, shares advanced tips, and helps drive broader adoption

The Sentinel (Compliance & Oversight Lead)

  • Monitors AI use to identify emerging opportunities and emerging risks

  • Serves as a conduit between office staff/leadership and the BrokerBot Team


4. Additional Best Practices for Successful AI Integration

Encourage Creativity

BrokerBot is about making everyone faster, smarter, and more efficient. Everyone's usage may be different. Encourage experimentation and learning.

Set Realistic Expectations

BrokerBot is a powerful AI assistant - not a replacement for human expertise. Position BrokerBot as a "first stop" for information, but not the final word on complex or sensitive matters.

Offer Multi-Channel Support

Provide written guides, prompts that have been found to be helpful, video walkthroughs, and live support opportunities (e.g. office hours or drop-in help sessions).

Measure & Share Impact

Track key adoption metrics (e.g., number of users, frequency of use, time saved, success stories) and share these wins with the team.

Iterate and Improve

Continually adapt processes and training based on user feedback, technology updates, and evolving business models.

Stay Informed with BrokerBot Upgrades

  • Attend monthly BrokerBot Open House (2nd Friday of each month at 11am PT)

  • Track newsletters and updates to ensure you're taking advantage of all of BrokerBot's features

The leader's job isn't gone, it's just changed.


Your agents need your instructions and feedback about how to properly conduct comparable market analysis, and what other best practices look like in real estate. By teaching your agents those variables, they become empowered to collaborate more effectively with BrokerBot, which leads to faster, and better, results.


5. Sample Implementation Timeline & Ongoing Resources

Week 1

Start Trial. Conduct Training and Onboarding Appointment with Maximo ([email protected]) with office staff and leadership (30-45min). Assign roles.

Week 2

Complete role-specific tasks (e.g. Librarian provisions Knowledge Center; The Wizard completes basic trainings in Training Center). Add whitelisted websites (e.g. local associations, assessor's office, company website, etc). Schedule your All-Agent Rollout with Maximo.

Week 3

Conduct All-Agent rollout (typically conducted by the BrokerBot Team as a guest speaker) as a 20-30min showcase during company meeting. Can also be conducted as a standalone showcase event.

Week 4

Debut first "AI Tips of the Week", schedule first "BrokerBot Class". Seek out power users and BrokerBot Champions.

Ongoing

  • Weekly tips, host regular classes and mastermind groups

  • Incorporate BrokerBot wins into sales meetings

  • Celebrate and share successes

  • Recognize BrokerBot champions to foster peer-driven adoption and utility

  • Encourage attendance of monthly BrokerBot Open House and other trainings offered by the BrokerBot Team
